PERSONAL ASSISTANT REF NO: DSAC 2025/13

SALARY: R325 101 per annum (Level 07)
CENTRE: Head Office (Polokwane)


REQUIREMENTS:

  • An undergraduate qualification (level 06) in Office Management / Management Assistant as recognized by SAQA

  • A minimum of 2 years’ experience as a Personal Assistant

  • A valid Driver’s License (except for persons with disabilities)

  • Knowledge and skills in:

    • Word processing, managing files and records

    • Obtaining and disseminating information, managing requests/enquiries

    • Providing customer and personal services

    • Good telephone etiquette

    • Computer literacy and sound organizing skills

    • Good people skills, interpersonal relationships, and communication skills

    • Client liaison and customer care


DUTIES:

  • Provide secretarial/receptionist support services to the Chief Director

    • Handle phone calls, including those for the Chief Financial Officer, and decide to whom calls should be forwarded

    • Finalize some enquiries and perform advanced typing tasks

    • Operate and ensure office equipment (e.g., fax machines and photocopiers) are in good working order

    • Record engagements of the Chief Financial Officer and use discretion to assess the importance and urgency of meetings

    • Coordinate and advise the Chief Director regarding engagements and compile realistic schedules of appointments

  • Render administrative support services:

    • Process all invoices related to the Chief Financial Officer’s activities

    • Record minutes of meetings where required

    • Draft routine correspondences and reports

    • File documents for the Chief Financial Officer

    • Administer leave registers, telephone accounts, and procure standard items (stationery, refreshments, etc.)

    • Collect relevant documents to assist the Chief Financial Officer in preparing for meetings

  • Ensure that procedures and prescripts related to the office of the Chief Financial Officer are followed:

    • Study and remain updated on relevant Public Service and departmental prescripts/policies to ensure efficient support
