Purpose of the Job:

The Health & Safety Administrator plays a key role in ensuring a safe and compliant workplace by developing, implementing, and monitoring health and safety policies and procedures. The role involves promoting a culture of safety, conducting risk assessments, organizing training sessions, and collaborating with various departments to mitigate hazards. The administrator will also maintain accurate records and report on safety performance to ensure the well-being of the organization and its workforce.


Job Objectives:

  1. Identify Unsafe Acts and Conditions:

    • Recognize behaviors or situations that could lead to accidents or injuries.

  2. Report and Record Safety Incidents:

    • Document and report incidents such as accidents, near-misses, or spills.

  3. Maintain Health & Safety (H&S) Management Systems:

    • Ensure that safety management systems are up-to-date and effective, including safety policies and procedures.

  4. Ongoing Maintenance of Regulatory Requirements:

    • Stay informed about changes in regulations and ensure the company’s compliance with health, safety, and environmental regulations.

  5. Facilitate and Record H&S Walkabouts:

    • Conduct regular workplace safety inspections to identify hazards and ensure compliance.

  6. Coordinate Annual Medicals and H&S Inductions:

    • Schedule and organize annual medical check-ups and safety inductions for new employees.

  7. Perform Administrative Duties:

    • Handle various tasks such as typing memos, taking meeting minutes, issuing work permits, documenting NCR (Non-Conformities), and managing access cards.

  8. Promote Safe Work Practices:

    • Encourage employees to work safely and educate them on injury prevention.

  9. Participate in Compliance Audits and Inspections:

    • Work with the HSE Officer to coordinate and conduct audits and inspections to ensure compliance with safety standards.


Qualifications:

  • Matric (Grade 12) or equivalent, with a strong foundation in administrative practices.

  • SAMTRAC (Safety Management Training Course) or a relevant Diploma in health and safety (advantageous).

  • HIRA (Hazard Identification and Risk Assessment) qualification.

  • Incident Investigation and Root Cause Analysis training is advantageous.


Experience:

  • Minimum 1 year of administrative experience, preferably in a safety or compliance-focused environment.


Knowledge & Skills:

  • Attention to Detail:

    • Strong attention to detail and accuracy in tasks to ensure safety compliance.

  • Communication Skills:

    • Excellent verbal and written communication skills to effectively interact with a diverse range of staff, visitors, and contractors.

  • Health and Safety Knowledge:

    • Understanding of health and safety guidelines and regulations, with a commitment to fostering a safe work environment.

  • Administrative Proficiency:

    • Proficiency in administrative tasks and office software, with the ability to manage multiple tasks and priorities effectively.
