The purpose of this role is to ensure smooth, professional interaction between administration, employees, customers, and service providers, while delivering efficient reception and administrative support across the organisation.


Data Capturing

Core Tasks

  • Compile and capture data for manufacturing processes.

  • Allocate job cards accurately.

  • Assist with ad hoc data requests.

  • Investigate and compile market data (including competitive advantages).


Personnel Administration

Core Tasks

  • Maintain and capture the leave register.

  • File and submit sick notes.

  • Communicate labour-related matters with the HR Business Partner.

  • Assist with IOD (Injuries on Duty) queries.

  • Capture overtime sheets promptly and accurately.

  • Distribute payslips and attend to related queries.

  • Maintain staff attendance registers.


Travel Administration

Core Tasks

  • Assist with travel route planning for drivers (deliveries and accommodation).

  • Coordinate driver schedules for deliveries and repairs.

  • Arrange accommodation and flight bookings.

  • Ensure timely payments for travel expenses.

  • Liaise with service providers regarding accommodation and scheduling.


Vehicle Administration

Core Tasks

  • Renew vehicle licences annually.

  • Coordinate bi-annual roadworthiness testing for trucks and heavy vehicles.

  • Liaise with insurers regarding claims.

  • Maintain and monitor vehicle logbooks.

  • Issue and control vehicle keys responsibly.

  • Monitor driver licence validity.

  • Coordinate PDP (Professional Driving Permit) applications and renewals.


General Administration

Core Tasks

  • File and maintain organisational documentation.

  • Order and track office stationery.

  • Handle administration related to purchases.

  • Manage petty cash responsibly.

  • Assist with placing advertisements.


Reception Function

Telephone Management

  • Handle all incoming and outgoing calls professionally.

  • Direct calls appropriately and provide required information.

  • Capture details of prospective customers.

  • Manage internal calls and external transfers.

Reception Duties

  • Welcome and receive customers courteously.

  • Represent Staalmeester professionally.

  • Establish purpose of customer visits and direct accordingly.

  • Follow up with waiting customers to ensure timely service.

  • Handle difficult or aggressive customers calmly and professionally.


Job Requirements

Qualifications

  • National Senior Certificate

Experience

  • Minimum 2 years’ experience in an administrative environment
