Job Purpose
To ensure the effective and accurate administration of the Parts department, supporting the efficiency of the branch and its operations.
Key Responsibilities
Receiving Administration:

Receive delivery notes and supplier invoices
-
Link invoices with delivery notes and equipment orders
-
Capture invoices on the system and verify accuracy
-
Create and follow up on claims for shortages/overages
-
Keep filing up to date and report actions to the manager
-
Assist with ad hoc receiving duties
Reports Administration:
-
Daily: Generate reports (credit notes, outstanding orders, quotations, inter-branch transfers), verify information, follow up, and forward to management for authorization

Weekly: Generate weekly reports (outstanding claims, shipping documents, negative on-hand reports, BIN location reports), follow up, and file completed documents

Monthly: Reconcile courier reports, create payment orders, capture stock count sheets, generate variance and update reports
General Administration:

Assist in quarterly stock-taking and generate related reports

Order office stationery and capture VVA source documents
-
Administer interdepartmental purchases and employee transactions

Manage dispatch administration and vehicle documentation
-
Handle general customer and internal staff queries
Minimum Requirements
-
National Senior Certificate (Matric)
-
At least 1 year of general office administration experience
-
Basic computer literacy and reporting skills
