Job Purpose:
The Academic Operations Administrator is responsible for maintaining student records, managing administrative tasks related to assessments and orders, providing support to students and staff, and ensuring the smooth operation of the support centre. The role involves database management, customer communication, and overseeing product and inventory management, with a focus on delivering efficient and organized operations within the academic environment.
Duties & Responsibilities:
Support Centre Administration:

Plan Implementation: Execute support centre activities as per the outlined plan.

Communication: Maintain effective communication with campus staff and students, addressing queries efficiently.

Administration: Manage databases (including registers and reports) and ensure meticulous record-keeping of customer and financial data.

Problem Solving: Serve as the first responder to challenges, providing timely solutions and advising line managers of any issues.
Student Support:

Student Queries: Respond to student queries in a calm, tactful manner within specified SLAs.

Document Management: Responsible for the electronic and physical storage of student documents.

Registration & Assessments: Process student registrations and assessments applications.
Operational Administration:

Order Processing:

Receive and process customer orders accurately, verifying product details and pricing.

Communicate order confirmations and resolve any issues with customers.

Maintain a professional and customer-focused communication approach.

Inventory Management:
-
Monitor product inventory levels and work with the procurement team to ensure availability.

Assist with returns, exchanges, and warranty claims.

Product Knowledge:

Stay updated on product offerings, certifications, and technology solutions to provide informed recommendations to customers.

Documentation & Reporting:

Maintain accurate records in the company’s CRM system and generate reports on sales, order statuses, and inventory levels.

Process Improvement:

Identify opportunities to enhance administrative processes and collaborate with cross-functional teams.

Collaboration & Compliance:

Work closely with the sales team to support sales targets and customer satisfaction goals.

Liaise with vendors, distributors, and internal departments to ensure smooth operations.

Ensure compliance with company policies, ethical standards, and reseller program requirements.
Project Planning:

Implement and manage projects as delegated by the Line Manager, ensuring timely feedback and participation in reviews.
Minimum Requirements:
Qualifications:

Matric (NQF Level 4 National Certificate)

Higher Certificate in Administration (NQF Level 5) is ideal.
Experience:
-
1-2 years of experience in office administration, personal assistance, student administration, or similar environments.

1-2 years of customer service experience, especially handling client queries and reporting.

Ability to demonstrate attention to detail and quality assurance.
Key Competencies (Operations):

Understanding of the South African higher education system and its regulatory framework.

Strong time management and attention to detail.

Customer service-oriented with the ability to effectively address queries.

Ability to work well under pressure and manage multiple deadlines.

Excellent communication skills and ability to work in a team.
