Position Overview:
The American International School of Johannesburg (AISJ) is seeking an Activities Events and Logistics Coordinator to manage and support all events and travel logistics for the Athletics and Activities Office. This is a full-time, campus-based position that ensures smooth planning, execution, and operational support for on-campus events and off-campus trips. The ideal candidate will be highly organized, proactive, and collaborative, capable of managing multiple complex projects in a fast-paced environment.

Required Qualifications, Skills, and Experience:
Qualifications:

A Matric (or international equivalent) is required.

A Bachelor’s degree in Event Management, Hospitality, Sports Management, or a related field is preferred.
Experience:

Demonstrable experience in events management, travel coordination, or related logistical fields.

Proven experience in managing complex, multi-stakeholder projects in a fast-paced environment.

Experience with budget tracking, purchase orders, and financial reconciliation.

Experience in school-based operations, athletics, or activities is advantageous.

Exceptional organizational, operational, and logistical planning skills with meticulous attention to detail.

Strong written and oral communication skills with the ability to collaborate effectively.

Duties and Responsibilities:
Event Logistics and Management:

Serve as the primary event coordinator for all major and minor events hosted by the Athletics & Activities department, including tournaments, galas, exchanges, and festivals.

Coordinate with internal departments (Operations, Transportation, IT, Security, Medical) to ensure all event needs are met.

Manage relationships and logistics for third-party vendors (equipment hire, medical services, catering).

Oversee post-event activities, including debriefs, billing reconciliation, and future planning.
Local and International Travel Logistics:

Coordinate all logistics for local and international travel for AISJ Activities, Athletics, and Aquatics programs.

Secure airfares, accommodations, and transportation for all trips.

Liaise with host schools and tournament directors to ensure smooth travel planning.

Ensure all required documentation (visas, medical forms, consent forms) is submitted by students and families.

Create travel packets with itineraries, contact lists, emergency protocols, and other necessary details for trip administrators.
Departmental Scope and Support:

Support over 20 major and minor events annually, including high-profile events like ISSEA Volleyball Tournament, SAISA Swim Gala, and JoMUN.

Assist with the management of over 10 international trips per year to locations like Mozambique, Kenya, and Morocco.
Working Hours:

This is a 45-hour per-week position, with potential for longer hours based on event needs (including evenings and weekends).
