Purpose of the Role:
Provide accurate and efficient administrative support to the Packaging and Ingredients stores, working closely with the Stores Supervisor and cross-functional teams. The role does not have direct reports but requires influencing skills to meet objectives.
Minimum Requirements:

Matric / Grade 12 or equivalent N4 qualification

Minimum 2 years’ experience in a similar role

Knowledge of stock control principles and tools

Proficient in SAP or similar inventory management systems
Key Duties and Responsibilities:
Data Management:
-
Verify invoices daily against goods received and delivery notes for accuracy
-
Manage short delivery claims with suppliers
-
Track returnable items (crates, pallets) and report discrepancies
-
Resolve blocked stock issues with relevant teams
-
Communicate delivery or collection issues
-
Verify returns from production are accounted for in the system
-
Assist with monthly stock counts and discrepancy investigations
-
Follow up on non-conforming delivery reports (NCRs) with suppliers
Audit Preparedness:
-
Maintain up-to-date SHERQ documentation
-
Track and ensure current certifications for machinery and equipment (e.g., forklifts)
-
Keep records of inspections, maintenance, and certifications
Daily GMP Observations:
-
Assist with compliance checks in stores for procedures and standards
-
Conduct daily housekeeping and sanitation inspections in stores
-
Identify and document potential GMP deviations
-
Report maintenance needs and raise job cards
Document Control:
-
Maintain organized filing and record-keeping systems

Analyze and report on stock age weekly
-
Generate and manage cycle and stock count sheets
Teamwork and Self-Management:

Take ownership and prioritize tasks effectively

Communicate risks and deadlines proactively

Assist colleagues during busy periods, including capturing goods receipts and supplier follow-ups
