Key Duties and Responsibilities:
-
Provide registry counter services and attend to clients
-
Handle telephonic and other enquiries
-
Receive, register, and manage hand-delivered mail and files
-
Sort, register, and dispatch incoming/outgoing correspondence
-
Distribute notices on registry matters
-
Render effective filing and records management services
-
Open and close files according to classification system
-
Perform filing, tracing, and retrieval of documents/files manually and electronically
-
Complete index cards for files
-
Operate office machines related to registry functions
-
Maintain franking machine register; frank post and record daily transactions
-
Conduct spot checks to prevent inclusion of private post
-
Lock post in postbags for delivery to Post Office
-
Maintain remittance register and record valuable articles
-
Hand deliver and sign over remittances to finance
-
Return incorrect remittances via registered post, recording reference numbers
-
Keep daily records of letters franked
-
Process documents for archiving and disposal
-
Electronically scan files; sort and package files for archives and distribution
-
Compile and submit lists of documents for archiving to supervisor

Maintain records of archived documents
