DUTIES:
-
Provide secretariat/receptionist support to the Director.
-
Receive telephonic calls and refer them to the correct role players.
-
Record appointments and events in the diary.
-
Type documents for the senior manager and other staff.
-
Operate office equipment (fax machines, photocopiers, etc.).
-
Provide clerical support to the senior manager.
-
Liaise with travel agencies and check travel arrangements.
-
Arrange meetings and events for the senior manager and staff: identify venues, invite participants, organize refreshments, and set schedules.
-
Process travel and subsistence claims, as well as invoices related to the senior manager’s activities.
-
Record basic minutes of meetings.
-
Draft routine correspondence and reports.
-
File documents for the senior manager and unit.
-
Administer leave registers and telephonic accounts.
-
Receive, record, and distribute incoming and outgoing documents.
-
Handle procurement of standard items (stationery, refreshments, etc.).
-
Collect documents to enable the Director to prepare for meetings.
-
Stay up to date with relevant public service and departmental prescripts, policies, and procedures.
