SUPPLY CHAIN MANAGEMENT CLERK

REQUIREMENTS:

  • Education: Grade 12 certificate

  • Experience: No experience required

  • Driver’s License: Advantageous

  • Skills & Competencies:

    • Basic knowledge of financial functions and practices; ability to capture data, operate computers, collate statistics.

    • Understanding of Public Service financial legislation, procedures, and Treasury regulations (PFMA, PSA, DFI).

    • Knowledge of basic financial systems (BAS).

    • Knowledge of public service work procedures, legislative frameworks, and Batho Pele Principles.

    • Communication (verbal & written), problem-solving, public relations, monitoring & analytical skills, computer literacy (MS Teams), planning & organizing, report writing, typing.

    • Shortlisted candidates will undergo a pre-entry practical exercise to test technical and generic skills.


DUTIES:

  1. Invoice Capture & Creditor Payment Advice:

    • Verify invoices (quantity, price, VAT, supplier details).

    • Capture accurate information on JYP for payment advice.

    • Attach supporting documentation.

    • Maintain computerized/manual register of payments.

    • Provide creditor information to DCO and Director Finance.

    • Update Procurement Status Reports.

  2. Demand & Acquisition Support:

    • Implement preference points system per commodity.

    • Provide secretariat/logistical support during bid processes.

    • Distribute store items in the absence of the responsible person.

    • Maintain PCC files with relevant documents.

  3. Purchase Orders (PO):

    • Verify contracts for items.

    • Capture source documents and place orders with suppliers.

    • Draft Letters of Award if JYP unavailable.

    • Send properly signed purchase orders to suppliers with official stamp.

  4. Procurement & Reporting:

    • Administer day-to-day SCM duties.

    • Ensure proper filing, recording, and safekeeping of documents for audit purposes.

    • Compile SCM reports on issued orders.
